Introducing Booker Tools: Private Meeting Notes for Desktop
Most people who work one to one know the feeling. The session ends, the next client is due in ten minutes, and the notes from the last one are still in your head. By the evening they have softened into a rough outline, and writing them up properly becomes another job on the list.
Today we are releasing Booker Tools, a desktop app for Mac, Windows and Linux that takes that job off your hands. Its first tool is Meeting notes.
How it works
Start your call the way you always do. When Zoom, Microsoft Teams, Google Meet in your browser or a Booker video call starts using your microphone, Booker Tools notices and asks whether you would like notes. Say yes and it gets on with it while you concentrate on the person in front of you.
If you would rather start it yourself, press Take notes now. For face-to-face work there is Session in the room, which takes notes from a single microphone with you and your client in the same space.
When the meeting ends, Booker Tools writes up your notes in the format you chose:
- Meeting notes for everyday calls
- Session note, with a dedicated risk section
- SOAP, DAP and BIRP for clinical records
- GROW for coaching sessions
Your audio stays on your computer
This is the part we cared about most, because what is said in a therapy room or a coaching session belongs there.
Booker Tools transcribes speech on your own computer using Whisper, a speech-recognition model that runs locally. The audio is never recorded to disk and never leaves your device. Only the text transcript is used. To write up your notes, that text is processed by our EU-hosted AI provider, and it is not used to train AI models.
If you would like your client to agree first, switch on consent confirmation and Booker Tools will ask you to confirm before it starts. You can also have transcripts deleted automatically after 7, 30 or 90 days, while keeping the notes themselves.
Our privacy policy sets out exactly what is sent and why.
Notes where you keep them
Each write-up can go to one place or several:
- A Markdown file on your computer, in a folder you choose
- Notion, as a new page in your workspace
- The client’s appointment in Booker, where it shows on their client page. This one is off until you switch it on.
Getting started
Booker Tools is included for Booker customers. Download it from the Booker Tools page, sign in with your Booker account, and make sure the AI assistant is switched on, as that is what writes up your notes. Updates install themselves, so once it is set up there is nothing else to look after.
Meeting notes is the first tool, not the last. If there is a part of your working day you would like a hand with, we would love to hear about it.
